Billing Specialist at Special Counsel

Special Counsel is recruiting a Temporary Legal Billing/e-Billing Specialist for a downtown Cleveland law firm.  The Legal Billing/e-Billing Specialist reports to the Billing Manager and acts under his or her direction. The Legal Billing/e-Billing Specialist is responsible for accurate and efficient preparation of attorney billings in accordance with the firm's billing policy and direction from the firm's legal personnel. Responsibilities:

  • Compile and bill attorneys hours to clients every month, timely and accurately
  • Review and edit time entries to ensure all proper client guidelines, internal protocol and firm guidelines are followed during billing and the e-Billing submission process
  • Coordinate re-submission of invoices with any errors/rejections
  • Ensure corrective action is in place for future submissions
  • Apply retainer funds as directed by attorneys
  • Process write-offs following firm policy
  • Monthly review and follow-up on WIP aging to ensure that matters on hold meet firm policy or approved for hold
  • Create billing analyses as required
  • Assist with matter and timekeeper setup on e-billing websites
  • Assist with maintenance on e-billing formats
  • Assist with the monthly billing cycle, through month-end close
  • Assist with maintaining all levels of the firm
  • Assist with Firm's rate structures
  • Respond to attorney and client billing requests and inquiries
  • Assist with maintaining the firm's Billing Procedures Manual including the writing of periodic updates
  • Serve as primary backup to the Billing Manager
  • Assist with special projects as required.
  • Qualifications:

  • Bachelor's degree in Accounting or Business, or equivalent professional experience
  • 3+ years of billing/ebilling experience in a professional services environment; experience with Aderant/Expert a plus
  • Strong MS Word and Excel skills
  • Good organizational skills
  • Ability to execute complex bills in a timely manner
  • Methodical and patient problem solving skills
  • Ability to track and prioritize a variety of details
  • Ability to anticipate work needs and follow through with minimum direction
  • Ability to analyze and critically review pre-bills to ensure data is of the highest quality for present and future use
