Administrative Support for the Executive Team
• Assist with coordination of meetings and reservations
• Maintain site/division distribution lists
• Maintain division organizational charts
• Assist with coordinating site visits/visitors

Ellisville Site Support – Main POC for Office
• Order supplies and equipment
• Manage for Building Services (security, cleaning, vending, supplies,
vehicle, etc.).
o Contact for the cleaning services
o POC for security matters
• Mail – sort and distribution
• Invoice payment for site services & create purchase order requests
• Cardinal/Blues Tickets
• Maintenance orders for machines
• Site/Division Communications (Announcements, TV Monitor updates,
newsletters, Bulletin boards, Phone Directory)
• Provide support Ellisville Site Engagement activities (i.e. Beast Mode,
Wellness, BGB, iERGs)
• Site Notary support, if possible
Administrative Support for EHS –COVID – tracking, preparedness, communication
• Administrative assistance for MESH
• Security and contractor documents
• Security and Contractor Safety
• Visitor kiosk
• Employee Badges and Key Control
HR Administrative Support
• New Hire Onboarding (badges, distribution lists, name plates, eSafety,
etc.)
• Service and Birthday Awards (coin wall, cakes, candy, etc)
• Birth/Death/Illness/Retirement Acknowledgements
• Hourly Staffing - Track all staffing – focus on temps
• Assist with interviewing events – and candidate tracking
• Set up HR Surveys
• Coordination of calendar for safety glasses vendor and IBM
• Provide support where needed and other duties as assigned.
Qualifications
• 2+ years of experience supporting executive management and interfacing
with all levels in the organization structure
• 2+ years of experience and working knowledge of HR policies/procedures
• Excellent ability to multi-task, display positive attitude and a high
energy level
• Excellent interpersonal, written and communication skills
• Highly organized, ability to prioritize workload and take ownership of
responsibilities
• Highly proficient with Microsoft Office Suite and the Internet for file
management, and other day-to-day tasks.
• Strong presentation skills with ability to welcome employees and make
strong first impression
- Maintaining employee files and accurate employee records
- Prepare new hire employee files and orientation packets
- Assemble new hire and new employee orientation
- Maintain employee human resources files, records, and information
- Completing filing of employee documentation in employee files
- Initiating new employee background checks
- Support the human resources manager with all campus human resources functions
- Provide administrative support for human resources
- Maintain various human resources, employment and benefits related files
- Maintain accurate current employee confidential information in employee files
- Create employees files and maintain confidential employee personnel records
- Prepare new employee benefit files and packets for weekly new employee benefits meeting
- Maintain employee personnel, benefit and payroll files
- Perform human resources and administrative tasks
- Manage employee files in WD
- Maintain applicant paperwork and employee files
- Prepare new hire personnel files
- Maintaining of employee benefit files & updating of employee payroll records
- Schedule new employee orientation, exit interviews
