Proposal Manager – IT – Information Technology
What does a great Proposal Management Specialist do?
· As a Proposal Manager, your clients will consist of financial institutions including large banks, community financial institutions, credit unions, as well as government entities and merchants. You will collaborate/interface with the deal team, including sales, proposal personnel, subject matter experts (SMEs) and executive leadership to complete different types of RFXs.
· Your tasks will include, but are not limited to content development, curation and editorial review of proposal-specific responses, including tailoring executive summaries, cover letters and other proposal-specific responses for the overall proposal submission.
· You must possess or quickly gain an intermediary to expert knowledge and understanding of the Client products, platforms and solutions to effectively lead the deal team in drafting targeted client-centric submissions that bolster our strengths across the payment-processing ecosystem.
· In addition, you will manage ad hoc independent assignments such as updating existing content database information and maintaining a consistent brand through the creation and use of templates, presentation materials, graphics and supporting tools.
· This is a fast-paced environment with many competing proposals in process; so, you must be able to work independently and collaboratively from the outset.
Proposal Management Roles and Responsibilities:
· Provide overall management and direction of the proposal process, ensuring all defined timeframes are met
· Provide strategy and management for overall RFx response content and messaging based on client objectives
· Ensure proposal responses are compliant and in accordance with client specifications and Client standards, and ensure quality control throughout the proposal process under tight deadlines
· Work with sales and SMEs to address client RFx requirements
· Develop and ensure the RFx-specific messaging and win themes are in line with the overall brand voice and language that is appropriate to the given opportunity and audience
· Ensure the Client messaging/themes/value propositions positioned for the deal are reflected in the proposal
· Produce compelling drafts adhering to client pain points and requirements
· Ensure the solution fits and in accordance with the requirements and the identified client-specific benefits are unique to the business value offering
Content Responsibilities:
· Write client-specific cover letters and executive summaries
· Work collaboratively with subject matter experts and senior/executive leadership to capture key ideas while maintaining consistency in messaging and strategy through the use of proper tone/voice
· Review, edit and rewrite proposal content in accordance with brand standards
· Leverage highly technical material (collected through interviews or research) into easily understood, proposal ready narrative
· Maintain a broad understanding of content applicable to the Client products, platforms and solutions
· Contribute to all aspects of proposal activities, including team working sessions and formal color reviews (Pink and Red team), if required
· Maintain the content database to ensure all existing and new content are updated in the centralized database to optimize the proposal team's response time
· Ensure proposal responses are compliant in accordance with client specifications, and ensure quality control throughout the proposal process under tight deadlines
Education and Job-Related Qualifications:
· Intermediary knowledge of financial services/Fintech industry banking and payment solutions
· Bachelor's degree in in Marketing, English, Communications, Journalism, Mass Media or a related field
· Minimum five years' experience in a financial services/payment processing (or similar field) fast-paced proposal environment responding to merchant, financial institutions and government and RFXs

· Strong proposal writing experience in a fast-paced, high volume environment is critical; excellent verbal and written communication skills – writing original content and editing are essential functions of the job
· Exemplary organizational skills, including accuracy and timeliness with the ability to work well under pressure managing multiple activities and meeting established goals in a deadline-driven environment
· Ability to interact with various levels within the organization; ability to work irregular schedule and necessary hours to meet required deadlines; must be able to work independently
· Strong skill level with Microsoft Office products (for example, Word, Excel, PowerPoint, Visio and so on)
· Salesforce.com and SharePoint experience
· RFPIO or similar proposal automation software experience
· Strong relationship building skills both internally and externally
· Strong problem solving skills and attention to detail
· Responsive, reliable and results oriented
· Strong analytical skills
· Well organized and detail oriented, able to track multiple project plans and due dates
· Handle rapidly changing priorities and aggressive deadlines
· Ability to understand and articulate customer business requirements and develop the corresponding proposal design
· Lead or contribute to projects from start to finish with minimal supervision
· Excellent verbal, written and group communication skills with proven writing and editing experience
· Detail oriented with in-depth knowledge and application of English grammar and ability to proofread all written materials including proposals presentations and related documents
· Superior follow through capabilities and ability to work under pressure to meet deadlines
· Conceptual and visual creative skills
· Strong content planning, strategy development and management abilities
· Able to maintain high level of diplomacy and adaptability with professionalism
· Ability to work in a team environment as well as independently with limited supervision
· Communicates with all levels of the organization, from highly technical to senior-level business leaders
· Ability to adapt and apply the knowledge gained from experiences of several projects
· Association of Proposal Management Professionals (APMP) Certification a plus
